Position Summary:

St. Anthony Church, Padua is seeking a detail-oriented and trustworthy Bookkeeper/Accounting Clerk to support the financial operations of our Catholic school. This position plays a vital role in maintaining accurate financial records, supporting tuition and fundraising accounting, and ensuring compliance with both school policy and diocesan guidelines. The successful candidate will align with the mission and values of the Catholic Church and support the faith-based educational environment of the school.

Key Responsibilities:

Accounting and Bookkeeping:

  • Record day-to-day financial transactions in accounting software (e.g., QuickBooks, Sage, or diocesan system).
  • Maintain general ledger and assist with monthly reconciliations.
  • Process accounts payable and receivable, including check preparation and deposits.
  • Reconcile bank statements and credit card accounts.
  • Maintain financial records and documentation in an organized and auditable format.

Tuition and Fees Management:

  • Assist with tracking and posting tuition payments.
  • Coordinate with third-party tuition management systems (e.g., FACTS).
  • Communicate with parents regarding billing and account questions professionally and confidentially.

Reporting and Budgeting:

  • Assist the Business Manager and Principal with preparation of financial reports.
  • Support the annual budgeting process and provide updates on budget performance.

Compliance and Internal Controls:

  • Ensure financial operations comply with diocesan policies and school procedures.
  • Maintain confidentiality of sensitive financial and personnel information.

Administrative Support:

  • Support fundraising and development tracking (e.g., donations, event income).
  • Assist with payroll preparation and employee records (if applicable).
  • Perform other duties as assigned by the Business Manager or Principal.

Qualifications:

Required:

  • Associate's or Bachelor's Degree
  • Minimum of 5 years of experience in bookkeeping, accounting, or finance.
  • Proficiency in accounting software (QuickBooks, FACTS, or similar), MS Excel, and Word.
  • Strong attention to detail, organizational skills, and ability to meet deadlines.
  • Discretion and commitment to confidentiality.
  • Alignment with the values and teachings of the Catholic Church.

* Successfully complete accounting skills and assessment test.

Preferred:

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field.
  • Experience working in a school or nonprofit environment.
  • Familiarity with diocesan policies and Catholic school operations.

Work Environment:

  • Office setting within a school campus.
  • Interaction with staff, faculty, administration, and families.
  • Must be able to sit or stand for extended periods and lift up to 20 lbs occasionally.
