Office Assistant Position at a Commercial Refrigeration Company
Position Summary:
We are looking for a reliable and organized Office Assistant to support our daily operations. You will help with scheduling, customer service, data entry, and general office tasks to keep our service team running smoothly.
Key Responsibilities:
Answer phone calls and assist customers with basic questions
Schedule service appointments and dispatch technicians (Housecall Pro)
Enter job details, notes, and updates into our system (Housecall Pro)
Prepare invoices, estimates, and follow up on payments
File documents and help maintain an organized office
Help track parts, supplies, and equipment orders
Communicate with technicians through Microsoft Teams
Assist management with simple admin tasks as needed
Qualifications:
Strong communication and customer service skills
Basic computer skills (email, PDF, Word/Excel)
Comfortable learning new platforms (Housecall Pro, Teams)
Able to multitask and stay organized
Dependable, friendly, and able to work well with a small team
Schedule & Location:
Full-time, Monday–Friday
Office located in Honolulu
