About the Role:
We’re looking for a hands-on, organized, and proactive team player to keep our facilities running smoothly, lead our front desk and admin support staff, and help ensure DVAC’s operations are efficient and well-coordinated. If you love solving problems, keeping things in order, and making sure the behind-the-scenes runs like clockwork, this role is for you.

Key Responsibilities:

Manage Facilities & Properties

  • Oversee maintenance and repairs for DVAC offices and other locations (e.g., Family Court).
  • Coordinate office improvements, maintain strong communication with landlords, renters, partners, and the Judiciary.
  • Serve as DVAC’s representative on the AOAO Board and as liaison with the property management company.
  • Maintain property and liability insurance policies, ensuring renewals and event coverage are in place.
  • Keep agency-owned equipment in working order, track inventory, and arrange repairs when needed.
  • Troubleshoot server room and phone system issues, coordinating with vendors.
  • Manage office supplies and equipment (e.g., copiers, cleaning products) to keep operations running without interruption.
  • Oversee donation inquiries, storage, and distribution to clients.
  • Coordinate office assignments and relocations for staff.
  • Manage parking assignments and monthly fee collection.
Lead Reception & Administrative Support
  • Ensure the front desk runs efficiently, supervise the Receptionist, and provide coverage when needed.
  • Act as a bridge between client services and agency staff for optimal response to callers and visitors.
  • Oversee the Administrative Assistant’s work on contracts, IT troubleshooting, repairs, and building management projects.
  • Train, supervise, and evaluate reception and administrative staff.
Support Donor Relations & Marketing
  • Partner with the Executive Assistant and Marketing Manager to keep donor records accurate and acknowledgements timely.
  • Work with Marketing and Program Managers to organize and track marketing materials, DVAC merchandise, and program items.
Agency Engagement & Growth
  • Attend operations and staff meetings.
  • Complete at least four relevant trainings per year to stay current and enhance skills.
  • Take on additional duties as assigned.
