We are seeking a dedicated and personable Client Services Specialist to join our client's local HVAC company! This candidate will play a vital role in maintaining the daily operations of the team, creating positive experiences while providing essential administrative support, and creating a good first impression to their clients and visitors.

Full-time, Monday-Friday, 7:30am-4:00pm

Location

Kahului, Maui

Pay

$20 to $23 an hour

Responsibilities

  • Warmly greet clients and visitors, ensuring they feel welcomed and valued.
  • Answer questions, provide basic company information, and direct clients to the appropriate personnel.
  • Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Perform administrative duties such as filing, photocopying, transcribing, faxing, and mail allocations.
  • Send out welcome packets to new clients, ensuring all necessary information is included.
  • Maintain records of client onboarding status and provide follow-up as needed.
  • Update and maintain the Sales Opportunity list, ensuring all data is current and accurate.
  • Excellent phone etiquette with experience managing multi-line phone systems.

Qualifications

  • High school diploma or equivalent required.
  • Minimum of one (1) year of experience in administrative roles.
  • Strong verbal and written communication skills with the ability to interact professionally with clients and team members.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • PBX phone system experience required.
  • Strong verbal and written communication skills with the ability to interact professionally with clients and team members.
  • Demonstrated friendly attitude and customer service orientation.
  • Superior organizational skills with attention to detail and ability to manage multiple tasks simultaneously.
  • Understanding of client confidentiality requirements and experience maintaining secure records.
  • Compliance with pre-employment state and federal background check and drug screen.
  • Valid license and reliable transportation.
