Job Description

A full-service family owned planning, government affairs, and community engagement consulting firm, is seeking TWO dedicated Administrative Assistants to join their team in Maui. In this role you will provide general administrative support, prepare report documents and correspondences, and coordinate with clients, project consultants, and governmental agencies. This role is crucial in maintaining the smooth operation of thier Maui branch and supporting their project teams.

Full-time, 7:45am-4:30pm Monday-Friday

Location

Wailuku, Maui

Pay

$22 to $32 an hour

Responsibilities

  • Participate in regularly scheduled coordination meetings with project and administrative teams
  • Answer and direct phone calls professionally and efficiently
  • Organize and schedule appointments and meetings
  • Receive and distribute communications and packages
  • Conduct errands, including in-person filings at governmental agencies
  • Copy, scan, and file documents in physical and electronic filing systems
  • Word process proposals, project documents, and correspondences
  • Prepare graphics and report figures (e.g., maps, project plans)
  • Coordinate with clients and members of project teams (i.e., subconsultants)
  • Coordinate with vendors (e.g., printers, couriers, equipment service technicians)
  • Support planning for team-building events (e.g., wellness events, professional development events)
  • Perform other administrative-related coordination tasks as needed

Qualifications

  • Associate of Arts or Associate of Science degree from an accredited institution of higher education
  • Minimum of five (5) years of administrative services experience
  • Ability to manage multiple administrative tasks in accordance with accepted standards of best business practices
  • Willingness and ability to work effectively as a member of multidisciplinary teams
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite and other relevant software
  • Attention to detail and accuracy in all tasks
